The Child Nutrition eClaims System is up and running for the new school year. All forms that are needed for your school to get started are posted under the AGREEMENT-- OTHER DOCUMENTS. These forms include: Free/Reduced-Price Application, Letter to Household, Income Scale, Approval/Denial of Benefits, Notice of Direct Certification, Notice of Verification, Confirmation Review, and Certificate of Authority. A new Child Nutrition Manual is also posted in five different sections: Compliance, Eligibility, Procurement, Cafeteria Managers, and Index. This manual is meant to be used as a WHOLE or in PARTS (as each SECTION also has its own index), whatever fits your school's needs. This eClaims System includes your Renewal Application and Policy Statement information as well as a copy of your Permanent Agreement. It also includes all the reports you will be required to submit throughout the year. The forms/records that must be submitted to the State Agency are listed in the order that they are required. The eClaims System is designed to easily maneuver from one item to another so that all required information can be completed efficiently in record time!

All information concerning Child Nutrition has been/will be posted to the Child Nutrition eClaims System. The next time you are logged into eClaims, click the PROFILE AND MESSAGING link on the left-hand side of the page to see all the postings. You are encouraged to check these messages often as this is how you are notified of the updates. Please check your e-mail addresses that have been entered into the Child Nutrition eClaims System for accuracy as they are also an avenue in which to contact you electronically. To begin the school year, you will need to know about the following items:

New meal rates from USDA usually come out the middle of July. Once these rates have been received, the State Agency will post them to the Child Nutrition eClaims System.

July 3 is the date when any SFA can have access to the Child Nutrition Renewal Application for the new school year. Schedule B requires SFAs that serve adult or contract meals to charge, at a minimum, the FREE reimbursement rate for each of those meals (plus the value of commodities for the lunch meals). SFAs can ALWAYS charge more than this; however, the Renewal Application will not be approved if the minimum charges are not indicated. You will see as part of the Renewal Application, an ATTESTATION in which the SFA must acknowledge agreement that it knows, understands, and is implementing the meal pattern requirements for lunch and breakfast.

The United States Department of Agriculture (USDA) requires that each SFA provide not only a DUNS/UEI NUMBER for participation in Child Nutrition Programs, but also a REGISTRATION DATE. Claims for reimbursement are not allowed to be submitted by any district that does not have an accurate DUNS/UEI number and current REGISTRATION DATE in the system..

Direct Certification through the WAVE will be available on the first Monday in August for any SFA to access. The WAVE system matches are updated every night. Daily access to the WAVE is highly recommended.

Child Nutrition Programs is pleased to announce the launch of the new web-based system for managing all Child Nutrition Programs’ (National School Lunch/School Breakfast/After School Snack/Seamless Summer Option/Summer Food Service/Fresh Fruit-Vegetable/Special Milk) applications and claims will take place on or around October 1. Between October 1 and January 31, we will transition districts to the new system.

The completed AD-3027 form or letter must be submitted to USDA by:
